Waiting list

An appointment falls through and it is offered to the next in line before the slot goes cold.

The slot nobody gets round to offering

A last-minute cancellation is not a problem if there is somebody to offer that hour to. And there always is.

Today
  • The waiting list is a note on the counter.
  • When somebody cancels, nobody has time to start ringing round.
  • Three people get called and none of them answers.
  • The slot is written off two hours later.
  • Whoever was waiting for an appointment never hears that one came free.
With heydiga
  • The list is live and knows who wanted exactly that time.
  • The moment the slot frees up, it is already being offered.
  • Whoever fits is messaged on WhatsApp, and whoever can come replies.
  • The slot is filled within the window where it is still worth something.
  • Whoever was waiting gets the slot that did not exist ten minutes ago.

Filling slots from this week

No separate list to keep: it comes out of the calendar and the calls already coming in.

1
Whoever misses out gets listed
When somebody asks for a time that is not available, they are offered the list and what they wanted is noted.
2
You set the rules
Who gets offered first, how much notice, and up to when offering still makes sense.
3
It offers on its own
As soon as a matching slot frees up, the message goes out and the appointment closes.

Keeping the list and using it in time

The hard part of a waiting list is not writing names down: it is reacting within the twenty minutes when it still helps.

What everybody asks

Seven quick answers to get the doubts out of the way.

How do people get on the waiting list?

heydiga puts anyone left without a slot on the list, with no forms: when someone asks for an appointment that is not available, it offers them the chance to wait and notes what they wanted and in which time window. There is no separate list to keep, because it comes from the calendar and the calls that already come in. The plans section shows which plans include the waiting list.

Who does it notify first when a slot frees up?

heydiga notifies first whoever fits according to the business's rules: by order of waiting, by type of service or by whatever priority the business already uses. The business also sets how much notice is given and up to when it makes sense to offer the slot, and heydiga applies those rules the same way every time.

Does it notify everyone on the list at once?

heydiga can do it either way, as the business decides. The usual approach is to go in order and allow a window to reply, so as not to promise the same time to five people. The notification goes out on WhatsApp to whoever fits the slot, whoever can come replies and the appointment is booked in the calendar.

What happens if nobody on the list replies?

heydiga keeps working down the list until the window the business has set runs out. After that, it stops offering the time and the slot stays free in the calendar. Meanwhile, nobody on the team has to drop what they are doing to start ringing round.

Does it work for last-minute cancellations?

Yes, heydiga's waiting list is made exactly for that: as soon as a slot frees up, it is already being offered, and the appointment is closed without anyone calling anyone. The hard part is reacting within the twenty minutes when the slot is still useful, and that is where the difference lies: 7 out of 10 freed slots are taken again if they are offered in time.

How does heydiga send automatic WhatsApp reminders?

heydiga sends them automatically as soon as the appointment is recorded. The customer gets a confirmation on booking and a reminder before the appointment, with the option to confirm or change it from the message itself. Whatever they reply is reflected in the business's calendar with no manual work.

Does it integrate with my management software or my calendar?

Yes. heydiga integrates with the management software, CRMs and calendars the business already uses, such as Booksy, Treatwell, CoverManager, Doctoralia, Salesforce or Google Calendar, to check availability and create appointments. If a specific integration does not exist yet, it is assessed as a development project and, in the meantime, the agent works just the same: it answers calls, gives information and books into a time window agreed with the business.

Connect the calendar and the next cancellation offers itself.

The phone causes more trouble

If this one rings a bell, these three will too. Each is solved on its own.

There is contact after the job, and that is why the customer comes back.
How many calls come in, what gets asked and what is being lost.
Always answers, even when your business has closed or you are on holiday.
