An ordinary day at the practice

The phone does not pick its moment. This is how you lose money today, and what happens with digaclinic.

Today
  • Reception is going through a treatment plan and the phone rings.
  • Three calls in a row asking whether the insurer covers it and what a hygiene costs.
  • A patient cancels the five o'clock. That slot will not be filled again.
  • Another patient does not turn up. Nobody confirmed the day before.
  • Someone calls in pain. The practice is closed and it goes to voicemail.
With digaclinic
  • It answers on the first ring and books into whichever surgery is free.
  • All three are answered right away, without reaching the desk.
  • It is offered to whoever is on the waiting list, before it goes cold.
  • It was confirmed yesterday, and if they said no the slot was reassigned.
  • It answers, works out whether it is an emergency and follows the protocol.

We are there where you need it most

Nothing about how the practice works has to change. You just stop losing these three things.

The no-shows

It confirms the day before, flags changes in time and offers the freed slot to the waiting list. That is where nearly all the return is.

The front desk

Questions about insurers, prices, timings and preparation stop reaching reception, who can look after the patient in front of them.

The closed hours

It answers in the evening and at weekends, tells an emergency from an enquiry and leaves the appointment booked for Monday.

Confirms the day before and recovers what a no-show leaves behind.
An appointment falls through and it is offered to the next in line before the slot goes cold.

What every dental practice asks

The ten questions the sector actually asks. Answered here, so you do not have to call and ask.

Will it replace my receptionist?

No, heydiga does not replace reception at a dental practice. The usual setup is for it to step in after several rings: reception is still the first line, and the agent picks up whatever goes unanswered because the team is with a patient, plus the calls that come in out of hours. The practice decides when the agent steps in and when it does not.

Does it integrate with the practice management software?

heydiga connects to the practice's software, such as Gesden, Dentalink or Clinic Cloud, and to Doctoralia, to check the diary and book appointments before hanging up. When the software is installed on a computer at the practice itself, the connection and the level of sync are assessed case by case before starting. Until it is connected, the agent answers, gives information and books within an agreed time window.

Can it follow the practice's booking rules?

Yes, and it is the part of heydiga that gets configured most at a dental practice. Rules such as never booking more than three first visits in a row, keeping slots free for emergencies or spreading appointments by surgery and by practitioner are set up so the agent books with the same judgement as reception. Each treatment takes its real length: a hygiene does not take as long as a root canal.

Does it give information on treatments such as implants or orthodontics?

heydiga gives the information the practice has defined: what the treatment involves, how long the process usually takes or what the first visit includes. It does not assess individual cases, give clinical advice or diagnose. When the enquiry strays into that territory, it says so and refers it to the practice.

What does it do with an emergency?

heydiga identifies the emergency and passes it on as quickly as possible. The practice defines what counts as an emergency, such as acute pain, and which number it goes to: rather than trying to resolve it, heydiga transfers the call to that number or leaves the message flagged as urgent, out of hours too. Pain at ten at night does not wait until Monday.

Does it help patients turn up to their first visit?

Yes, heydiga confirms the appointment when booking it and reminds the patient again the day before, with the option to confirm or change it: one appointment in five is lost when it is not confirmed the day before. A patient who cannot come says so in advance, and the slot is offered to whoever is on the waiting list instead of sitting empty. The plans section shows which plans include the waiting list.

Can it call patients who have not come back for a check-up?

Yes, heydiga makes outbound calls to win back patients who have not been to the practice for a while, remind them of a check-up that is due or follow up after a treatment, and it books the appointment for anyone who wants to come back.

Can it answer questions about insurers and quotes?

Yes, heydiga answers whether the insurer covers a treatment or what a hygiene costs, using the cover and the prices the practice has loaded, without those calls reaching the desk. A quote that needs an assessment it does not improvise: it books the first visit so the dentist can do it at the practice.

Can it book the review appointments for a long treatment, such as orthodontics?

Yes, heydiga books the full series of review appointments for a long treatment, such as orthodontics, and reminds the patient of each one until discharge, which is where most patients drift away. The dates follow the schedule the practice has defined for that treatment: the agent does not decide when a review is needed.

What security certifications does heydiga have?
