The calendar is the business

An empty slot is not recovered the next day: it is lost. This is what changes with digaclinic.

Today
  • Reception is serving a patient at the desk and the phone rings. It gets picked up late, or not at all.
  • A patient does not turn up. Nobody confirmed the appointment and that hour is never billed.
  • Half of reception's day goes on the same questions: whether the insurer covers it, what it costs, how to come prepared.
With digaclinic
  • Answers first time and books to each practitioner's and each room's calendar. The desk carries on.
  • Reminds, confirms on the day and, if somebody drops out, offers the slot to whoever was waiting.
  • Answers all of them on the spot and leaves reception for what genuinely needs a person.
20%
1 in 5 appointments is lost when it is not confirmed the day before.
30%
3 out of 10 calls come in outside the clinic's opening hours.

What everybody asks

The thirteen questions that come up before deciding. Answered here so nobody has to call and ask.

What is digaclinic and which practices is it for?

digaclinic is heydiga's product for health and wellness: dental clinics, physiotherapy and rehabilitation, aesthetic medicine, psychology and therapy, pharmacies and veterinary clinics. It answers the practice's phone and WhatsApp 24/7, books according to each practitioner's calendar, gives the information the practice has defined and passes to a person anything that needs professional judgement.

Does the agent give medical information?

No, digaclinic does not diagnose, assess symptoms or give clinical advice. It gives the information the practice has loaded (appointments, prices, insurers and cover, what a treatment involves, what the first visit includes or how to prepare for a test) and, as soon as a question strays into clinical territory, it says so and passes it to the practitioner.

How does it fit with the practice's existing reception?

Usually digaclinic steps in after several rings: reception remains the first line and the agent picks up whatever goes unanswered because the team is with a patient, plus the after-hours calls, which are three in ten. The practice decides at what point the agent steps in.

Can it book across several practitioners, surgeries or rooms?

Yes, digaclinic books according to each practitioner's and each surgery's calendar, with the length of each type of visit. The practice's own rules (slots reserved for emergencies, allocation criteria, length per treatment) are configured before it is opened to patients. Managing shared rooms is reviewed case by case, depending on how the practice's calendar is set up.

What does it do with an emergency?

digaclinic identifies emergencies and transfers them as quickly as possible to a person on the team. Telling an emergency from a normal appointment is the first thing configured: the practice defines what cannot wait and which phone it goes to. Rather than trying to resolve it, digaclinic passes it to that number or leaves the message flagged as urgent, after hours too.

Does it reduce patient no-shows?

Yes, digaclinic confirms the appointment when it is booked and again the day before, with the option to confirm or change it. A patient who cannot come lets the practice know in time and the slot is offered to whoever was on the waiting list instead of being lost: one in five appointments falls through when it is not confirmed the day before. The plans section shows which plans include reminders and the waiting list.

Can it win back patients who have not returned?

Yes, digaclinic makes outbound calls to remind patients of a check-up that is due, resume an interrupted treatment or follow up after a visit, and books an appointment for anyone who wants to come back. In a veterinary clinic, for example, it reminds owners about vaccinations and worming according to each animal's schedule.

Which practice management software does digaclinic connect to?

digaclinic connects to Doctoralia, Clinic Cloud, Gesden and Dentalink, and works on the calendar the practice already uses: it reads each practitioner's and surgery's availability and the length of each visit, and writes the appointment in before hanging up. It checks at the moment of the call, so it never gives a time that is already taken. The plans section shows which plans include the integration.

What security certifications does heydiga have?

heydiga is certified under Spain's National Security Framework (ENS) at medium category (Royal Decree 311/2022) and under ISO 27001. It runs on servers in the European Union, complies with the GDPR and encrypts data in transit and at rest. It is the standard demanded by customers who handle sensitive data, such as healthcare centres or public bodies.

Can callers tell that an AI voice agent is not a person?

heydiga speaks in a voice so natural that many customers would struggle to tell the difference: it understands interruptions, replies in real time and uses no menus or "press 1". Even so, it introduces itself as a virtual assistant from the very start, as the EU AI Act requires. And if the customer would rather speak to someone on the team, it passes the call on.

Do I have to change my number or software to answer calls with AI?

Nothing needs to change to use heydiga. The business keeps its phone number and its management software: heydiga connects to the calendar or CRM it already uses to check and create appointments, tickets or orders, and if it uses none, heydiga provides one. Each business decides which calls to divert: all of them, after-hours calls or only the ones it cannot get to.

How do I manage appointments and bookings on WhatsApp with heydiga?

Customers message the business on WhatsApp and heydiga replies just as it does on the phone: it checks the free slots, confirms the appointment and creates it in the calendar. It uses the same information as the voice agent and does not duplicate appointments between the two channels, so it makes no difference whether the customer calls or writes. The plans section shows how to add the WhatsApp channel to each plan.

Does it work if the business has several sites?

Yes. With heydiga each site can have its own line or share a single number that routes every call to the right site. Either way, each site keeps its own calendar, opening hours and team, and what happens across all of them shows on the same dashboard. The plans section shows which plan includes bookings across sites.
